Create shared notes
for your family
H
ave you set up the Apple Notes
app so that it can be used by your
family? It is a great way to share
information, text copied from web pages,
bullet lists, checklists, and so on. For
example, you could have a shared shopping
list with your partner. Instead of messaging
them to remember to buy milk on the way
home from work, you could simply add it to
a shared shopping list. Lists can be shared
with your partner and children, such as
birthday wish lists, holiday checklists, and
other information. Everyone in the family can
work off the same notes and lists and there is
no confusion or excuses, because everyone
can see them. Notes sharing features are not
just for work – try them out for the family and
it could make sharing info that bit easier.

Set sharing permissions
Before choosing the method for inviting
people, click the ‘Permissions’ menu and
then choose whether to allow people to make
changes or just view. Select the first option.

Send an invitation
Select a method to send an invitation.
As sharing only works on Apple devices,
Messages is a good way to invite people. Click
the icon and address the message.

Move notes
We now have an empty folder that is
shared with other people. Create new notes or
move them from elsewhere. Ctrl+click a note
and select Move to>iCloud>Family Shared.

Create a folder
To keep notes organised, especially when
sharing, it is useful to create a folder for them.
Click the three dots next to ‘All iCloud’ and
then select ‘New Folder’ on the menu.

Name the folder
Name the new folder that is created for
notes. Shared folders have a small icon to
distinguish them from non-shared, but it is still
useful to add ‘Shared’ to the name.

Add people
There are several ways to make this a
shared folder that others can access. One way
is to click the three dots icon next to the name
and select ‘Add People’ on the menu.
