Calendar’s advanced features

alendar looks like a simple app for organising your

busy schedule and you can double-click on a day and

enter the name of an event and the time. Dig a little

deeper though, and there are many more features that enable

you to create events that are shared with other people. You can

invite family or work colleagues, see if they have replied to your

invitation and whether they are coming to the event.

There are also custom alerts for certain events. For example,

you need to know days or weeks before someone’s birthday so

you can get a present or mail a card. If you schedule events with

people abroad, it is useful to add their time zone, and maps can

be viewed showing event locations.

There are numerous advanced features built into Apple’s

Calendar app for creating and sharing event details

Customise notifications

Go to Calendar>Preferences>Alerts to

customise notifications. For example, you may

want to be notified about birthdays the week

before so you have time to buy a present.

Add time zones

Go to Calendar>Preferences>Advanced

and enable time zone support. Click ‘Other...’

and add a time zone. Switch time zones to see

event times shown in each zone.

Add external calendars

If you use Google or Microsoft calendars

for work, add them to your Mac. Open System

Preferences>Internet accounts, click the ‘+’

icon and add an account. Tick ‘Calendars’.

View external calendars

The calendar automatically appears in the

sidebar. If it doesn’t, go to Preferences>

Accounts. Select it and tick the box to enable

it. Choose the calendars in the sidebar.

Customise refreshing

How frequently should calendars update?

Go to Preferences>Accounts and select each

account. Push is best, but external accounts

may be checked on a schedule. Pick one.

Add maps

If you add an event, like a trip, add

the location and a map is included in the

description. Day shows the largest map, but

clicking it opens Maps for a full-screen view.
