Tip
You can think of the Group By fields in a total query as fields that specify the row headings of the datasheet.
The Group By option creates the rows of the results in sorted order within each column.


Access groups records based on the order of the Group By fields in the QBE pane (from left to
right). Therefore, you should pay attention to the order of the Group By fields. Although the order
doesn’t change the aggregate totals of the fields, the order of Group By fields does determine how
the results are displayed in the datasheet. Placing Category before Make results in records ordered
first by product category, and then by make (see Figure 18.21).
